This policy explains what information AnsatAI collects, how we use it, and the choices and rights you have.
1. Introduction
This Privacy Policy explains how Fire Up The Apps LLC, doing business as Kore Matter (“AnsatAI”, “we”, “us”), located at 145 Great Rd STE 6, Farm Hill Plaza #1043, Acton, MA 01720, collects, uses and protects personal data when you use AnsatAI (the “Service”) or visit our website. It applies to owners and staff who use the Service. Because the Service is used by businesses in the European Union and European Economic Area, this policy is written to respect data-protection rights under the EU General Data Protection Regulation (GDPR) as well as applicable United States law.
2. Information we collect
- Account information — such as your name, email address, company name and the credentials you use to sign in.
- Content you send the agents — the emails you forward or reply to, and the instructions you give, so the agents can act on them.
- Connected-system data — information we access from the business systems you connect (for example customer, order and invoice records) in order to carry out your instructions. See section 3 for how we handle this.
- Usage and technical data — such as log data, IP address, device and browser information, and how you interact with the Service.
3. We do not warehouse your accounting data
AnsatAI does not own or store your accounting and ERP records. Your customer, order, invoice and financial data live in the systems you connect. When an agent needs that information to act on your instruction, it is resolved live from the connected system at that moment and used to complete the task — it is not copied into a permanent AnsatAI data store. We retain the operational records needed to run the Service (such as the instructions you sent, what an agent did in response, and logs), but the authoritative business data remains in your own systems.
4. How we use information
- to operate the agents and carry out the instructions you give;
- to authenticate you and secure your account;
- to communicate with you about the Service, including notifications and support;
- to process billing and payments;
- to maintain, protect and improve the Service; and
- to comply with legal obligations and enforce our terms.
5. AI processing
The agents rely on third-party large-language-model providers to interpret your instructions and draft outputs on your behalf. Relevant content — such as the text of an instruction and the context needed to act on it — is sent to these providers to produce the agent’s response. We work with providers that process this content to deliver the Service and do not permit it to be used to train their models where such a choice is available to us.
6. Sub-processors
We use a limited set of trusted third parties to process data on our behalf so we can provide the Service. These currently include:
- Postmark — transactional and inbound email delivery.
- Anthropic — the AI language model that powers the agents’ reasoning and drafting.
- Voyage AI — text embeddings used to process documents.
- Stripe — payment processing, when billing is enabled on your account.
- DigitalOcean — cloud hosting and infrastructure.
Each sub-processor is engaged to provide a specific function and is bound to protect the data it processes.
7. Legal basis & your rights
Where GDPR applies, we process personal data on the legal bases of performing our contract with you, our legitimate interests in operating and securing the Service, your consent where required, and compliance with legal obligations. Subject to applicable law, you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise these rights, contact us at legal@ansatai.com. You also have the right to lodge a complaint with your local data-protection authority.
8. International transfers
AnsatAI is operated from the United States, and your personal data may be processed in the United States and in other countries where we or our sub-processors operate. Where personal data is transferred from the EU/EEA, we rely on an appropriate safeguard for the transfer, such as the EU Standard Contractual Clauses.
9. Data retention
We retain personal data for as long as your account is active and as needed to provide the Service, and thereafter only as necessary to comply with our legal obligations, resolve disputes and enforce our agreements. Typical retention for operational records is the life of your account and up to 24 months after it is closed, unless a longer period is required by law. When data is no longer needed, we delete or anonymize it.
11. Security
We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss or misuse. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
12. Children
The Service is a business tool and is not directed to children. We do not knowingly collect personal data from children under the age of 16.
13. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will provide reasonable notice, for example by email or through the Service, and we will update the “Last updated” date above.
